Email Warm-up: Production Methodology
Plan a compliant, measurement-driven ramp for legitimate new sending infrastructure.
Purpose
Warm-up establishes a predictable sending pattern while providers learn the reputation of a new IP or domain. It cannot repair poor consent, bad lists or deceptive content.
Start with recipients who expect mail
Use recent, engaged, permission-based recipients. Suppress unknown users, complainers and inactive addresses before sending.
Ramp model
Increase volume only when delivery, engagement, bounce and complaint signals remain healthy. Provider-specific queues may require different pacing.
Daily review
- Delivered and deferred volume by provider
- Unknown-user and complaint rates
- Authentication and TLS results
- Queue age and remote responses
- Engagement from expected recipients
- Domain and IP reputation dashboards
Pause conditions
Pause or reduce volume when complaint rates rise, unknown-user responses increase, blocks appear, authentication fails or queues age unexpectedly. Diagnose before resuming.
Documentation
Record volume, audience source, campaign type, provider responses and every configuration change. Good records turn warm-up from guesswork into an operational process.
